Office Assistant Job In Karen

The Nairobi Waldorf School is one of 2,500 international schools around the world that offers the Steiner/Waldorf curriculum to children from 18 months of age to 13 years.

The school is not-for-profit and is managed by a Board of Trustees which comprises of parents and teachers.

This trust currently runs two multi-cultural schools in Karen and Kileleshwa.

Due to growth, the Karen school now seeks to employ a warm, pleasant and skilled office assistant who
meets to work closely with the School Administrator.

The Office Assistant is responsible for giving all visitors to the school, whether in person or via telephone and e-mail, a pleasant first encounter.


He/she is also a liaison between the school and all stakeholders of the school.
Roles and responsibilities
Take calls, messages, greet visitors and prospective parents and direct them to the concerned staff members as is needed.
Develop and maintain the school’s teaching and learning materials inventory system.
Typing and processing various documents, as and when required.
Keeping a daily check on the e-mail that is sent to the office along with answering them and taking care of correspondence as directed.
Dispatching duties to varied staff members as and when required.
Maintaining a clean reception area, making it ready for the visitors, etc.
Making transport arrangements of staff members and visiting mentors, if they have been dispatched on a work-related trip.
Maintaining and keeping a record of parent contact lists and making sure that the changes are keyed in from time to time.
Assisting in the completion of pupils’ progress reports.
Keeping a check on all the things that are required in the office and ordering them accordingly.
Issuing of games kits, library books and class materials.
Oversee the packing, assembling and dispatching of varied packets.
Scheduling meetings, preparing the agenda and taking minutes at such meetings.
Update the notice boards by posting and removal of outdated materials
File all correspondence and retrieving of information from active files or archives upon request.
Maintain a School transport register and pupil’s transport schedule.
To provide First Aid and arrange for hospital follow up or emergency evacuation if necessary
Keeping track of leave schedules

Skills
Typing speed of at least 50 words per minute
Good grooming
excellent interpersonal skills
effective verbal, listening and written communications skills
attention to detail and high level of accuracy
very effective organizational skills
computer skills including spreadsheets, word processing programs and e-mail at a highly proficient level
time management skills

Education and experience
Certificate/Diploma in Secretarial Studies or Front Office Management
At least 2 years experience preferably in an educational institution
Certificate in First Aid
